We're Hiring a Legal Assistant!

ABOUT THE JOB

Wyoming Immigrant Advocacy Project is seeking a full-time Legal Assistant to join our growing team. Reporting to the Legal Director, the Legal Assistant will support WIAP’s programmatic work to provide free and low-cost legal advice and representation to Teton area immigrants, including administrative duties, interfacing with clients, conducting research, drafting correspondence, and additional tasks as required. Salary is $70,000 annually with insurance benefits, SIMPLE IRA retirement plan, and generous PTO.

RESPONSIBILITIES

  • Communicate courteously and thoughtfully with clients in both English and Spanish
  • Anticipate client needs and prepare ahead of time to be responsive to client questions and concerns
  • Schedule appointments, hearings, and deadlines accurately, keeping attorneys well-informed of upcoming commitments and responsibilities
  • Document all case activity with clear, concise case notes
  • Manage case intake process under the instruction of the Legal Director
  • Draft, proofread, and file, by email, fax, and/or mail, correspondence and legal documents in English and Spanish
  • Copy, scan, and file incoming case notices and correspondence
  • Coordinate paperwork for attorney review and case preparation, including affidavits and documentary evidence
  • Translate documents between English and Spanish
  • Research points of contact, procedures for evidence collection, filing requirements, and additional information for purposes of preparing immigration applications for filing
  • Contact local government agencies and other third parties and track follow-up tasks
  • Work with attorney and Executive Director to coordinate and schedule community outreach events
  • Process mail, email, and voicemails efficiently, accurately, and promptly
  • Manage legal documents and client information in strict confidence
  • Prioritize conflicting needs, handle matters proactively and expeditiously, effectively manage deadlines, and follow through on projects
  • Make arrangements for attorney travel
  • Support organizational communications efforts, including social media posts, newsletters, mailings, and website management
  • Ensure office is tidy and supplies are stocked
  • Assist Executive Director and CPAs with client billing and expense payment and reconciliation as needed
  • Help to implement and maintain functional office processes, program operations, databases and other software
  • Additional duties as assigned

MINIMUM QUALIFICATIONS

  • Verbal fluency in English and Spanish
  • Strong writing skills in English and Spanish, and ability to accurately translate written materials
  • Superior attention to detail and ability to execute tasks precisely and accurately
  • Energetic, organized, and able to work on multiple projects at the same time while meeting deadlines effectively
  • Strong interpersonal skills and ability to professionally represent the organization to clients, donors, and colleagues
  • Computer literacy, including proficiency in Microsoft Office
  • Ability to work independently and maintain strict confidentiality
  • Awareness of and sensitivity to challenges associated with working with low-income and limited-English-proficient clients
  • Demonstrated commitment to immigrant rights
  • Administrative work experience preferred
